Preparations for your Presale, step by step

To prepare your Presale we first advice to check the events you would like to sell during a presale in the Events module.
These events should be set to a specific Group. With this group you will be able to manage the dates of the visibility start on the website, and of the presale itself.

This group needs to be connected to an active Season ("huidig" or "volgend", for current or upcoming).

Presale for a specific target group?
If you want some visitors to be able to book even earlier, you will need to use Visitor Tags

In this case, don't forget to select the box "Pre-sale" in the Groups module.

Step by Step
To create a pre-sale on the website you will need to create a New Group.

Dashboard > Event Metadata > Groups

Code: this is usually a name, for example ‘Winter-sales-2122’’

The Description can be the Same as the Code.

Start Visibility:  from this date on all events connected to this group will be visible on the website to everyone

Start Sale: from this date on all events connected to this group will be bookable on the website to everyone.

Now that you have created a new Group, you should select this Group for all events (in the Events module) that belong to this Pre-Sale action.

In the picture below you see a show that is already visible on the website (you can for instance check the detail page of the production, and all dates), but the sale will start on the 3th of January.

Pre-Sale for a specific target group
In this example, the presale of this event has already started for the 'friends of the theatre' who have a specific visitor tag connected to their account. When they are logged in to the website they can already buy tickets.

Settings for Pre-sale via the visitor tags
First step: turn on the Pre-sale option of the Group in the Groups module.
With this button turned on the Group will check the settings of the Visitor Tags to see which visitors are possibly allowed to join the Presale even earlier.

Dashboard > Marketing >Visitor Tags
You select the right Visitor Tag (for instance "friend"), make sure the function Enabled is on Yes, and  select the date from which this group can see and buy tickets for events within the Group you created.

In the example above, visitors with the visitor tag "Vriend" will be allowed to see shows from the 23th of December and to order from the 28th of December.
Visitors without a visitor tag will be able to see and to book tickets from the date that is set up within the Group where the Events are attached to.

In the example below, visitors without visitor tags can book from the 3rd of January (later than the ones with the visitor tag "Vriend").
These rules will apply to all the events connected to this Group (in the example above "voorjaar 2021" Group).

Everything ready? It is time to inform your visitors about the Pre-Sale!

Tip: for the visitors with visitor tags, you can use the Short description field to inform them about the start sales. This field is visible in their web account, and can be updated regularly.

Otherwise, why not add a personalised Banner (based on visitor tag) on the homepage about the pre-Sale? Feel free to experiment different ways!
